When you fill out a form on our website, including a general contact form or a request for a discovery call, we collect the information you provide. This may include:

• Name
• Company name
• Email address
• Phone number
• The services you are interested in
• Budget indication and project details (for the detailed contact form)

2.2 Automatically collected data

When you visit our website, we may automatically collect certain technical data, such as IP address, browser type, device information and general usage statistics. This happens through cookies and similar technologies, see Article 6.

3. Why we collect this data

We use the data you provide through a form to:

• Get in touch with you regarding your enquiry
• Schedule a discovery call or intake
• Assess your enquiry and prepare a suitable proposal or quote
• Send you a confirmation email
• Improve our services based on aggregated, anonymised insights

We do not use your data for purposes incompatible with these goals, and we never sell your data to third parties.

4. How form data is processed

To follow up on enquiries quickly and carefully, Digitalmakers uses an automated workflow. When you submit a form on our website, the following happens:

1. Your data is checked for spam before further processing.
2. Depending on the form type (general enquiry or discovery call), your data is routed to the appropriate internal workflow.
3. Your data is recorded in our internal systems so our team can follow up on your enquiry.
4. You receive an automated confirmation email.
5. A member of our team then reaches out to you personally.

This workflow runs through automated tools (including n8n) used solely to route and follow up on your enquiry internally. No automated decision-making that produces legal effects concerning you takes place.

5. Who we share data with

We only share your data with parties necessary to carry out the purposes described above, including:

• Google Workspace (Sheets, Gmail) for internal administration and communication
• Notion for internal project follow-up
• Webflow as the hosting provider of our website
• n8n (cloud-hosted) for automating form processing

Data processing agreements are in place with these parties where applicable, or their own privacy terms apply. We never share your data for third-party marketing purposes.

6. Cookies

Our website uses cookies and similar technologies to ensure the website functions properly and to gain (anonymised) insight into how the website is used. On your first visit, where legally required, we ask for consent for non-essential cookies. You can adjust your cookie preferences at any time through the cookie settings on our website.

7. Retention period

We do not retain personal data longer than necessary for the purposes for which it was collected. Data from rejected or non-progressed enquiries is deleted after 24 months, unless you request earlier deletion or a longer retention period applies, for example under Dutch tax retention obligations once an agreement has been formed.
